What to Look for in a Wedding Venue — 17 Things That Really Matter

From someone who has hosted nearly 200 weddings and loves seeing couples walk away saying that was the best day of their lives.

You found a venue online that looks absolutely dreamy. The photos are gorgeous, it fits the budget, and you're already mentally placing your centerpieces. We get it. That feeling is real and wonderful.

But before you sign anything, there are specific things worth looking for on a tour that couples may not notice until it's too late. After nearly 200 weddings at Southern Granary, a wedding venue in Altavista, Virginia, just 25 minutes from Lynchburg, we've seen firsthand what makes a wedding day feel effortless. Consider this your friendly guide to knowing what matters.

1. Climate control — in every single inside space

Here's something that happens more than you'd think: a couple tours a venue on a beautiful 65-degree April afternoon, falls in love with the space, and then finds themselves on a hot Virginia summer wedding day in a reception room where guests are melting, fanning themselves, and nobody can dance because it's simply too warm to move.

Look specifically at the reception room, the bridal suite, the groom's dressing room, and the restrooms. Can each space be adjusted independently?

At Southern Granary, every inside space is climate-controlled. The guests, the wedding party, the vendors, and the dance floor have all been very grateful about this.

2. Generous hours that cover the whole day

You want enough time for vendors to set up, for your wedding party to get ready on site, for the ceremony, appetizer hour, reception, and a relaxed send-off without anyone rushing you out the door.

At Southern Granary, Saturdays run 8 am to 10 pm with the option to add one or two additional hours. That's a generous day, and it means nobody is watching the clock.

3. Friday access for decorating, rehearsal, and dinner

A Friday access option means vendors can decorate ahead of time, your rehearsal happens on site, and your rehearsal dinner can take place in the actual space. Knowing your day-before options early shapes how relaxed your whole weekend feels.

Southern Granary offers several Friday access windows that allow full decorating, rehearsal, and a meal or dinner inside or on the covered Patio.

4. A clear and confident rain plan

This is one of the most important logistical things to have a clear plan for at any outdoor wedding venue in central Virginia. Outdoor ceremonies are beautiful and are also at the mercy of weather, so look for backup options and make sure you understand whether there is any additional fee involved.

At Southern Granary, ceremony options include the Meadow, the large covered Patio, or inside the reception space. Every option is beautiful and every option is included.

5. Genuine guest comfort from arrival to send-off

Think beyond the reception room. Is there ample parking close to the entrance so older guests aren't walking a long distance? Are restrooms accessible and comfortable? Is there seating throughout the evening for guests who need a break from the dance floor?

At Southern Granary, parking is ample and on site, restrooms are ADA accessible and climate controlled, and there is seating both inside and on the covered Patio. We also offer a golf cart shuttle to the Meadow ceremony for anyone who'd like a ride, which grandma and grandpa tend to appreciate quite a bit.

6. Lighting that transitions for dancing

The shift from dinner to dancing should feel like something. A room that transitions from warm dinner lighting to a dimmed dance floor does that naturally. Look for a venue where lighting transitions are handled for you rather than falling on you or your DJ.

At Southern Granary our on-site venue manager handles this behind the scenes. You won't have to think about it once.

7. A trusted vendor community with transparent incentives

Look for a venue with a trusted recommended local wedding vendor list you're free to use or not. Vendors who know a space already understand the layout, the kitchen, the timeline, and each other. That familiarity shows up on wedding day in ways that are hard to overstate.

At Southern Granary our vendor list is highly recommended but not required. It's also worth knowing whether choosing recommended vendors comes with any financial benefit — at Southern Granary, couples who choose from our list of trusted caterers or our partner catering service team receive a discount on their invoice — because having a quality team matters that much.

8. An included Day-of Coordinator

A wedding day coordinator is not optional if you want your wedding day to feel truly at ease — it is one of the single most important elements of a smooth, joyful day. Someone needs to be guiding the timeline, cueing the vendors, signaling the processional, and quietly solving the small things that come up so that you never have to. That person should not be you, and it should not be your maid of honor, mom or aunt — who would love to be able to mingle and enjoy every minute without duties.

Look for whether a coordinator is included or whether you'll need to find and pay for one separately. The answer will tell you a lot about how the day is going to feel.

At Southern Granary an in-house Day-of Coordinator is included with every wedding, working alongside you and your vendors from the start of the day through the send-off.

9. Transparent and flexible pricing

Look for pricing that is clearly posted, easy to understand, and flexible enough to fit your actual priorities and budget. No surprise fees on wedding day should be a given.

At Southern Granary pricing is customized to the size and scope of your event, with add-ons and discounts so you pay for what you actually need. Pricing is posted on our website with no guesswork required.

10. A complimentary decor collection and styling support

Look for what complimentary decor items are available and what the policy is on bringing your own personal touches.

Southern Granary offers a complimentary decor collection including easels, table numbers, cake stands, signs, chilling trays, and more. Our handmade farmhouse tables have a beautiful glossy finish that needs no tablecloth, though couples are welcome to bring their own runners and personal table decor. For couples who want a fully coordinated look — simple or elaborate, whatever fits your vision — one of our dream team partners specializes in decor and makes the whole process wonderfully easy.

11. Roomy getting-ready spaces and something for the groomsmen

Picture your entire wedding party getting ready together, a photographer moving through for detail shots, and someone's mom trying to bustle a dress in the corner. Is there enough room?

The Southern Granary Bridal Suite is roomy and private with an adjoining restroom — we hear it complimented on nearly every tour. The Groom's Den has comfortable seating, a full-length mirror, a garment rod, its own mini split, and access to a large men's restroom. Outside the Groom's Den there are cornhole boards the guys genuinely enjoy, which keeps energy light and everyone relaxed before the ceremony.

12. Variety in photo opportunities

A venue with variety gives your photographer so plenty of options. Look for a mix of indoor and outdoor options, different textures, backdrops, and interesting architectural details.

Southern Granary photo backdrops include the Ceremony Meadow, wooded forest, Staunton River bank, industrial interior with polished concrete floors and vintage steel doors, the covered Patio, and passing trains. Photographers have so much fun here.

13. End of night cleanup handled for you

Look for clarity on who handles this so there is no additional work at the end of the night when your family and friends are glowing but exhausted from the day.

At Southern Granary our on-site team handles trash throughout the evening and cleans up after the event. Your group gathers personal items and decor and heads home. That's it.

14. A convenient and accessible location

Out-of-town guests navigating an unfamiliar area need a venue that's easy to reach, close to hotels, and near any last-minute essentials.

Southern Granary is two miles off the highway, 25 minutes from Lynchburg and conveniently located in Altavista in the heart of central Virginia — with a Joe Bean's coffee stand half a mile away — which the bridesmaids have strong feelings about. There is also a Walmart nearby for the inevitable forgotten item. The groomsman who forgot socks knows who he is.

15. Nearby accommodations for traveling family

If a significant portion of your guest list is traveling in, look for a venue that has nearby lodging options or relationships with local accommodations.

Southern Granary has its own wedding weekend Guesthouse one block away that sleeps twelve, with a hot tub, fire pit, and private patio — but that deserves its own post entirely.

16. Setup and takedown handled to your layout

This one surprises many couples. Look for whether the venue sets up tables and chairs to your chosen layout before you arrive and handles takedown at the end of the night, or whether that falls on you, your family, or your vendors.

At Southern Granary every table and chair is set up inside and outside according to your chosen layout before your day begins, including the ceremony arbor of your choice in the Meadow. At the end of the weekend our team takes everything down. You arrive to a ready space and leave without lifting a finger.

17. A venue team you genuinely connect with

Save this one for last, after you've noticed everything else, and then trust your gut. You'll communicate with this team throughout your entire planning process and they'll be on site on your wedding day. Do they seem genuinely invested? Do they listen? Do they have clear, experience-backed opinions when you ask for them?

The couples who feel the most relaxed on their wedding day are very often the ones who trusted their venue team completely. That feeling starts on the very first tour.

If you'd like to come walk Southern Granary and see everything on this list in person, we'd love to have you. Reach out through the link in our profile to receive the tour calendar — we’d love to show you the space with your wedding in mind!
